I used Access to create my database structure. I started by importing the data set into Access using the 'Get External Data' option on the File menu. This created a table for the data without any validation. This meant that I could look at the data and decide what fieldnames, data types and validation I should use.

I have made a short movie to show the table structure I created. You can pause the movie to look at the information for each field.

I have chosen short, meaningful fieldnames and field sizes that are big enough to hold the data but not too big.

I made PupilID, School/College and Year Group 'Required' because I think this information is important and needs to be there so that pupils can be contacted more easily.

I have used an input mask on PupilID to make sure that when a new record is entered into the database it will have an ID number that begins with an 'R'.

I have written validation rules for fields where only a fixed range of values is allowed e.g. PlanOrFlick. This will stop invalid data getting into the database.

I used an 'append records' query to import the data from the first table into my table structure. Three records were rejected. I used a 'find unmatched record' query to find out which ones they were.

The records which were rejected are: R467984, R853387 and R948490. The first two had 'No' in the During Ads field - only watch, flick or other are allowed. The last one had an 'E' for gender.
